Our approach to your information

DanceFit only collects information we reasonably need to run classes, keep attendance and class-pass records, manage bookings, and help the instructor understand information you choose to provide about your fitness or health.

This notice explains what we collect, why we use it and the choices you have.

Who is responsible for your data?

Middleton DanceFit is responsible for the personal information held in the DanceFit system. If you have a privacy question or want to exercise one of your data rights, speak to the DanceFit instructor at class or contact DanceFit through the usual class contact channel.

What information do we collect?

Depending on how you use DanceFit, we may hold your name, email address, mobile number, date of birth, emergency contact details, membership start year, bookings, attendance history, class-pass balance and payment method.

If you complete a fitness form, we also hold the health and wellbeing information you choose to provide. If an accident or incident is recorded, we may hold information about what happened and any action taken.

If another DanceFit member adds or books you as a friend, they may provide basic information about you so your attendance and class pass can be kept separately.

Why do we use it?

We use personal information to administer DanceFit classes, manage bookings and attendance, maintain class-pass records, communicate about accounts and bookings, manage fitness forms, and keep appropriate safety or incident records.

For ordinary class administration, we rely on our legitimate interests in running DanceFit safely and efficiently and, where relevant, on taking steps to provide the class service you have chosen to use.

Health and fitness information

Health information is treated as particularly sensitive. When you submit a fitness form, DanceFit asks for your explicit consent to use the health information you provide for class safety and fitness-form administration. You can withdraw that consent by contacting DanceFit. Withdrawing consent does not affect use of the information before withdrawal, and may mean we can no longer keep or use your fitness-form information.

Your fitness form is not used to make automated medical or eligibility decisions. You remain responsible for deciding whether you are fit to participate and for seeking appropriate medical advice where needed.

Who can see your information?

Your participant information is intended for the DanceFit instructor and, where the app allows it, for you when signed in to your own account. Saved friends can be booked by the person who linked them, but health information and private account details are kept separate.

DanceFit also uses trusted technology suppliers to operate the service, including Supabase for database and account services, Cloudflare for website hosting/delivery, and Resend for transactional emails. They process information only as needed to provide those services.

Where is information processed?

Our technology suppliers may process information in the UK, the EEA or other countries. Where personal information is transferred internationally, we rely on the safeguards provided by those suppliers and applicable UK data-protection requirements.

How long do we keep it?

We keep information only for as long as it is reasonably needed for class administration, safety, record-keeping, resolving queries and dealing with possible legal claims. Retention is based on the type of record, whether you still attend DanceFit, and whether there is a continuing safety, legal or administrative reason to keep it.

You can delete your DanceFit account from the participant area. Some records may need to be retained separately where there is a genuine safety or legal reason to do so.

Your rights

Under UK data-protection law, you may have rights to ask for a copy of your personal information, correct inaccurate information, ask for information to be deleted or restricted, object to certain uses, or ask for your information in a portable format. Where we rely on consent, you can withdraw it at any time.

If you are unhappy with how DanceFit handles your information, please contact DanceFit first so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data-protection regulator.

No marketing by default

The DanceFit system is designed for class administration and service messages. We do not use the information in your DanceFit account for unrelated marketing without an appropriate basis to do so.
